In order to provide you with the best possible service, we, Ruitenburg adviseurs & accountants (hereinafter called "Ruitenburg"), process personal information. We respect the privacy of everyone who visits our website and/or makes use of our services. We therefore make sure that any (personal) information given to us is handled confidentially and processed in a careful and secure way. We believe you should know exactly how your personal details are collected and/or processed. You will find all the relevant information in this privacy statement. The latest version will always be posted on our website.

Processing of personal details

We might have to process your personal details in order to provide you with our services. This information tells us something about you. For example, your name and address details or the contact information for the contact person of a particular company.

The personal details that we process will depend on the service that we provide to you. A description is given below for each category.

Contacting us or placing an order in the webshop

When you visit one of our websites (including ruitenburg.nu and werkenbij.ruitenburg.nu), or when you place an order via our webshop, fill in the contact form, or get in touch with us in some other way, we will process the following personal details:

  • name and address details;
  • telephone number/email address;
  • payment details;
  • purchase history;
  • details about your activities on our website, IP address, browser type, and device type.

We will only use the above details for the purpose for which they have been collected, for example:

  • so you can order certain items and use all the functionalities and services of our website;
  • to process your order and to keep you informed about the progress of the order;
  • to send you documents by e-mail;
  • to answer any enquiries or handle any complaints you might have; and
  • to improve our website, our product range, and our online services (at an individual level). We do this based on: your preferences, market research and customer satisfaction surveys, and the way our website is used by visitors.

Services of Ruitenburg

Ruitenburg offers a wide range of services, which means we can help you with many different things. Including:

  • the preparation and auditing of annual accounts;
  • the submission of tax returns;
  • the handling of salary administration and/or financial administration;
  • the provision of financial, taxation, and legal advice in the broadest sense of the word.

When you make use of our services, we will process the information that you give to us or give us access to, or that we obtain in some other way from a third party, such as the Tax Department.

In addition to your own personal details, it can also be the personal details of any relevant employees, customers, suppliers, or independent contractors. These details will include:

  • name and address details;
  • telephone number/email address;
  • date of birth/place of birth;
  • gender;
  • contact details and names and positions of contact persons;
  • financial details;
  • salary details;
  • marital status, details of partner and (where relevant) details of children (insofar as necessary);
  • identification details, including Citizen Service Number (BSN) and passport number.

Where relevant, we will also process certain personal data in order to comply with statutory obligations, but we mostly do this so we can provide our services. The purpose for which the personal details will be used will be described in the order that is agreed between you and Ruitenburg.

If you issue us with a subsequent order, we will use the details that we already have in connection with the original order. That means you don't have to give us the same information twice. Sometimes, an order will be carried out by (part of) a company that is allied to Ruitenburg.

If we want to process personal data for any other reason than at your request, we will ask for your permission before doing so. Furthermore, in certain cases we will also have to process (and retain) personal data in order to fulfil certain statutory obligations and/or in connection with judicial proceedings.

Job application procedure

When you apply for a job at Ruitenburg, we will process the following personal information:

  • Name and address details;
  • gender;
  • date of birth;
  • photo;
  • CV and motivation letter.

We will only use the above information for the purpose for which it has been collected, namely to assess whether or not you are a suitable candidate for a particular position and to inform you about the progress of the job application procedure. We can also keep your personal details for a longer period with your consent. This will make it possible for us to contact you if a suitable vacancy becomes available for you!

Retention periods

We will not keep your personal details any longer than is strictly necessary in order to fulfil the purposes described above. Certain data have to be kept for a longer period in order to comply with statutory retention obligations (e.g., the obligation to keep financial records for taxation purposes) or in connection with the rules of our professional association.

Sharing with third parties

The details issued to us by you will only be shared with third parties if this is strictly necessary in connection with the provision of our services. For example, we have to use the software of various suppliers in order to provide our services.

If this means that a third party will have access to personal data, or if they can save and/or process this data themselves, then we will conclude a written agreement with that third party so they are bound to comply with all the applicable obligations under the privacy laws. We will only use third parties if we know they are reliable parties who have taken adequate measures to protect personal data. This means, amongst other things, that these third parties will only be allowed to process your personal data for the purposes described above.

Furthermore, we will not disclose the details issued to us by you to other parties unless you give us your consent, except in those cases where this is mandatory or permitted under the law. This can happen, for example, if we have to disclose certain information to the police in connection with a fraud investigation. In that case we have a legal obligation to disclose the relevant data.

Websites of third parties

This policy does not apply for websites of third parties that are connected to our website by way of links. We cannot guarantee, namely, that these websites will handle your personal information in a reliable or safe manner. Always read the privacy statement of the relevant website before using it, in order to make sure your data will be handled in the appropriate way.

Protection of personal data

We have taken the necessary technical and organisational measures to prevent the accidental loss, unauthorised use, or alteration of the personal data that we collect and process. We have done so taking into account the interests that have to be protected, the latest technical developments, and the cost of the relevant protection measures. This means we will make sure that any data processors we use also take the necessary data protection measures.

Our employees and any third parties who have to be given access to the personal data are bound by an obligation of confidentiality. If you would like more information, then we will be happy to tell you more about the personal data protection measures that we have taken.

Your rights

You might want to know if Ruitenburg has processed any personal details relating to you. You can submit a request in writing to us to find out, and then we will inform you whether or not that is the case within four weeks. If Ruitenburg has processed personal data relating to you, you will also receive an overview of the relevant data and a description of the purpose for which these data were processed.

Where relevant, you can also submit a request for the rectification, updating, changing, or removal of your personal data. We will tell you within four weeks whether or not your request will be approved. If we approve your request, we will take the relevant action as quickly as possible. Sometimes it is impossible for us to honour a request for data to be removed. This is because we have to keep certain data for a (longer) period under the applicable laws. If we are not able to remove your data, then we will tell you why not.

You should also take into consideration that certain services will not work properly if you ask us to remove (some) data or to stop sharing it with third parties.

Changes

Ruitenburg reserves the right to make changes to this privacy statement at any time in accordance with applicable statutory regulations. You should therefore check our webpage from time to time to see if any changes have been made.

Complaints

If you have any complaints about the processing of your personal data, you can always submit them to us in writing, so that we can try and find a solution together. This is without prejudice to your right under the privacy laws to submit a complaint to the Autoriteit Persoonsgegevens (Dutch Data Protection Authority), the regulatory authority in the field of data protection in the Netherlands.
